Terms and Conditions
Bohio Ventures LLC. Effective version: 2026-10-30.1.
Acceptance
These Terms and Conditions govern access to and use of Property One, the Bohio Maintenance application and related websites, messages, tools, and services. By affirmatively accepting these Terms when creating an account or when prompted in the application, you agree to these Terms. The Privacy Policy explains how we handle information. Receiving a notification alone does not establish your agreement. If you do not agree to these Terms, contact your property manager to arrange another way to report and coordinate maintenance. Declining app use does not waive rights under your lease or applicable law.
Provider for Ongoing Services
Property One is provided by Bohio Ventures LLC (“Provider,” “we,” “us,” or “our”), a separate legal entity from Bohio LLC. By affirmatively accepting these Terms, you agree that Bohio Ventures LLC is your contracting party for access to and use of Property One from the date of acceptance, including existing, newly introduced and expanded features made available under these Terms. These Terms govern your subsequent use of the service.
Bohio LLC is not a party to this software agreement governing your subsequent use. Your acceptance does not, by itself, amend or transfer a separately signed agreement, release claims arising before acceptance, or change your lease or the duties of your landlord or property manager. The provider substitution described here is subject to any separately signed agreement that controls under the agreement-priority provisions below.
No member, owner, manager, officer or employee becomes a party to or personal guarantor of this software agreement solely because that person owns, manages or operates Provider. Separate businesses do not undertake Provider's obligations merely through common ownership or branding. These provisions do not exclude any person's liability that applicable law does not permit to be excluded.
Company Workspaces and Commercial Customers
Property One is operated by Bohio Ventures LLC. These Terms cover company workspaces, public rental websites, maintenance coordination, communications, and software subscriptions and add-ons. Commercial purchases are offered to businesses in the United States. If you purchase or administer a workspace for a company, you represent that you have authority to bind that company. The company is responsible for its authorized users, permissions, settings, content, and lawful use of the service. Residents and contractors do not become responsible for a company's subscription charges merely by registering or accepting an invitation.
A separately signed agreement controls over conflicting subscription terms; applicable subscription terms control over conflicting provisions of these platform Terms. The Privacy Policy describes our information practices and does not provide blanket consent to every use of information. The company data-processing provisions below apply when we process personal information on a customer's behalf.
Software Role and Customer Responsibilities
Purchasing software does not appoint Bohio as your property manager, real estate broker, contractor, insurer, legal adviser, or emergency responder. Any separate services Bohio undertakes are governed by their applicable agreements and legal duties. These software Terms do not disclaim duties Bohio actually undertakes in another capacity.
Company customers are responsible for the accuracy and legality of rental listings, photos, public contact details and FAQs; leasing and housing decisions; maintenance duties; contractor selection; spending and entry permissions; required notices; and compliance with applicable housing, privacy, communications, and other laws. Publishing an illustrative gallery image does not represent that it depicts an actual listed property. Customers must have rights to publish their content and a lawful basis to provide resident, staff, contractor, and prospect information.
Purpose of the Application
Bohio Maintenance is a coordination tool for maintenance requests, scheduling, communications, estimates, media uploads, corporate partner qualification applications, and related property workflows. The application is not an emergency service, security service, construction warranty, insurance product, professional advice service, or guarantee that any request, repair, contractor, partner application, message, schedule, estimate, image, file, or notification will be accurate, timely, available, accepted, completed, or suitable. For emergencies, call 911 or the appropriate emergency authority.
Maintenance Guide and Troubleshooting Information
The application's maintenance guide, chat-style FAQ, automated suggestions, category suggestions, request prefill tools, and similar informational features are provided for general convenience only. They are not professional, technical, electrical, plumbing, HVAC, appliance, safety, environmental, legal, insurance, or emergency advice. They may be incomplete, incorrect, unavailable, outdated, or unsuitable for your specific property, equipment, condition, skill level, lease, local code, or safety situation.
You are responsible for deciding whether any step is safe and appropriate. Do not perform any troubleshooting step that you are not comfortable performing or that could create risk of injury, property damage, code violation, utility hazard, or further damage. Bohio Ventures LLC does not assume responsibility for actions you take or do not take based on guide content, automated responses, FAQ content, or request suggestions.
The application is not monitored as an emergency service. If there is fire, smoke, sparking, shock risk, gas odor, carbon monoxide alarm, flooding, sewage backup, structural danger, medical risk, threat to personal safety, or any other emergency or immediate hazard, leave the affected area if it is unsafe and call 911 or the appropriate emergency authority right away. Submitting a maintenance request is not a substitute for emergency services.
Property One™ Maintenance Assistant
Where enabled by your property manager, the Property One™ Maintenance Assistant helps coordinate a maintenance ticket through automated requests, reminders, and status updates. Enabled AI features send relevant maintenance information to a configured AI service provider to interpret requests and replies and perform the disclosed maintenance functions. This can include ticket text, relevant messages, photos selected for analysis, estimates, and authorized workflow context, depending on the feature. This processing is part of operating the enabled feature, as explained in the Privacy Policy; users are not asked to approve each routine model request separately. Any separate consent required by applicable law remains necessary. Messages identified as coming from the Maintenance Assistant are automated communications, not a statement that a person reviewed the ticket. AI can misunderstand a message or produce an incorrect suggestion. Contact your property manager if an update is inaccurate, unclear, urgent, or needs human attention.
The assistant may request issue details, estimates, appointment options, tenant selections, access confirmation, and confirmation of the repair outcome. Approvals may be made by a manager or through an automated workflow expressly authorized within defined limits, as described below. Where no automated approval has been authorized, manual approval is required. An AI-generated estimate or response alone does not approve spending, book an appointment, authorize entry, or confirm that a repair is resolved. A tenant's access confirmation applies to the selected appointment and does not authorize unattended entry or replace any notice, consent, or access requirement under a lease or applicable law.
Where enabled, AI-assisted analysis of maintenance photos and relevant ticket information may suggest repair scope and preliminary cost estimates. The feature identifies the photo-analysis purpose when photos are collected or selected for that use, with any notice or consent required by applicable law. Photo-based estimates are planning aids, not binding contractor quotes, inspections, safety certifications, or guarantees of price or repair scope. Images may omit hidden damage, measurements, site conditions, or other information; labor, materials, permits, taxes, and actual costs may differ. A contractor or other qualified person may need to inspect the issue. Before work or spending is authorized, an estimate must pass the applicable manual or authorized automated approval process. Do not rely on a photo estimate to decide that a condition is safe or that urgent repairs can wait.
The service may include automated estimates, approval workflows, contractor coordination, scheduling, reminders, and other related maintenance actions where enabled. An authorized manager or other person with the necessary authority may enable automatic actions within defined permissions, repair scope, spending limits, and other controls presented for that feature. An action within those authorized limits may proceed without separate manual approval each time. Actions outside the configured authority require the applicable approval or escalation. Accepting these Terms, submitting a maintenance request, or uploading a photo alone does not grant unlimited spending, contracting, property-entry, or other authority to the assistant.
Available capabilities and controls depend on the property, account, and configuration shown in the application. Routine releases enabling the capabilities described here within the same disclosed purposes and authorized limits do not, by themselves, require a new version of these Terms. We will provide notice or obtain consent when required by applicable law, including for material changes outside this scope. You may ask management to review or correct an automated action or arrange human assistance. These provisions do not grant unlimited authority, permit retroactive changes to a person's legal rights, or remove the lease and statutory protections described below. An automated approval is an operational action within its authorized scope, not a guarantee of price accuracy, workmanship, safety, or repair completion.
While tenant action is needed, reminders may be sent daily and more frequently near an appointment, including morning and afternoon reminders on the two days before the appointment and on appointment day. The applicable schedule and contact hours are shown in the application and use the property's timezone. Delivery and processing delays can occur. Review the appointment and follow the response instructions in the portal or message. Do not assume email replies are monitored unless the message expressly identifies that as a supported response method. Notification channels depend on the enabled features and applicable consent requirements.
If an appointment window passes without required tenant selection or access confirmation, the assistant may send a notice explaining what is missing and allow at least 24 hours from the notice's scheduled delivery before administrative closure. A tenant update in the portal is routed for manager review. A ticket closed for missing confirmation is recorded as closed without confirmed repair, not as a completed repair. Closure does not erase the maintenance report, withdraw a repair request, establish that the premises are safe, or waive tenant rights, landlord duties, or remedies under a lease or applicable law. Contact your property manager for review or further work if the issue remains; you may also submit a new request. Do not wait for an automated reminder or closure deadline to report an emergency or continuing hazard.
You may request human assistance through the tenant portal or your property manager's usual contact details. A manager can pause or take over coordination. Submitting such a request does not instantly stop every message already being processed, and an email already submitted for delivery may not be recalled. Use another established contact method if the portal is unavailable. The assistant does not make eviction, tenancy eligibility, rent, or other housing entitlement decisions.
Expanded Property Workflows
Depending on the package and configuration, Property One may support rental listings and applications, screening coordination and report display, lease examples and document preparation, disclosure attachments, electronic signing, records of paper-signed leases, tenancy setup, rent schedules, payment coordination and AI-assisted maintenance. Availability may depend on supported jurisdictions, enabled providers, separate accounts, required authorizations and additional terms presented for the applicable transaction.
Provider supplies software tools. Purchasing or using the service does not appoint Provider as your landlord, property manager, broker, contractor, lawyer, insurer, emergency responder or escrow agent. A software feature, status or notification does not establish that a legal duty has been fulfilled. Any duties Provider actually undertakes under a separate agreement or applicable law remain in effect.
Company customers are responsible for lawful property operations, accurate instructions and records, authorized users, configuration of permissions and limits, required notices, and review of documents and decisions within their control. Access to a feature does not authorize undisclosed charges, unrestricted automation, property entry or use of information for unrelated purposes.
Lease Examples, State Information and Disclosure Packets
Lease examples, state profiles, checklists, source links and disclosure libraries are informational tools. They are not legal advice, attorney-approved forms, government endorsement or certification that a document or transaction complies with applicable law. Materials may be incomplete, outdated or unsuitable for a particular municipality, property, tenancy, housing program or circumstance.
The company preparing a lease packet is responsible for verifying the property location, construction date, any claimed exemption, housing-program status and other relevant facts; obtaining appropriate legal review; completing required forms accurately; and providing all required disclosures, reports, notices and attachments at the required time and by a legally permitted method. This includes applicable lead-hazard, flood, housing-program and state or local requirements. A reference publication does not replace a required completed property-specific disclosure.
Automated validation, selection of a state, inclusion of an official document or a receipt acknowledgment does not establish legal completeness or waive missing disclosures. Review the complete final packet and obtain clarification of missing or incorrect information before requesting or providing signatures. Do not make an attorney-review certification unless that review actually occurred. Mandatory tenant protections and landlord duties remain controlling.
Signing and Document Records
Electronic signing is subject to the transaction-specific disclosure and affirmative signing consent presented for the identified document. Acceptance of these platform Terms alone does not sign a lease or provide all consent required for electronic delivery of legally required records. Review and retain the exact final packet, including its listed attachments.
Provider records the application's signing process and document version. An account login, typed name, signature image, timestamp, hash or audit record is not an independent guarantee of identity, authority, authenticity, enforceability or legal compliance. The available paper process and withdrawal procedure are described in the signing disclosure.
An uploaded paper-signed lease is recorded based on the uploader's representation that the complete document contains the required signatures. Upload validation does not independently authenticate signatures or certify the agreement. Withdrawing an unsigned signing request or changing an administrative status does not rescind an executed lease. Expiration reminders do not replace legally required renewal, nonrenewal, termination, entry or eviction notices.
Applications and Screening
An application, payment, completed report, displayed observation or verification status does not reserve a dwelling, create a tenancy or guarantee approval. The housing provider makes rental decisions and must confirm availability and lawful selection criteria.
Company customers must have a permissible purpose and any required authorization to obtain and use consumer reports. They are responsible for lawful screening criteria and fees, restrictions on information considered, fair-housing compliance, accommodation requests, required individual review, and adverse-action notices and related rights where applicable. These responsibilities include decisions based partly on a report and less favorable offers such as a higher deposit or guarantor requirement. Provider retains its own applicable legal obligations.
Report observations summarize returned source information; they are not an independent investigation, eligibility score, safety certification or rental recommendation. Missing information does not mean no record exists, and “complete” does not mean “clear.” Authorized reviewers must examine underlying information and address applicable verification, dispute and notice requirements. Reports must not be used for unrelated purposes or disclosed to unauthorized persons.
Where enabled, the screening provider separately presents screening authorization and Applicant Pay terms. Property One currently charges no separate application fee in this flow. The screening provider discloses its fee before payment. Payment does not guarantee approval, and applicable fee limits and refund rights remain in effect.
Rent Records and Payment Authorization
Lease fields, unit assignments, balances and rent schedules are administrative records. The company must reconcile them with the signed lease and applicable law, including rent, due dates, credits, deposits, fees and payer details. Selecting one household payer does not alter other parties' lease obligations or create an undisclosed guaranty.
A lease invitation, signature, activation, draft rent schedule or acceptance of these Terms does not authorize a card charge, bank debit or automatic rent payment. Payment and recurring-debit authorizations must be obtained separately where applicable. Software subscription payments are separate from rent and screening payments. Payment statuses may be subject to settlement, returns, reversals and disputes.
Lease Obligations and Non-Waivable Rights
These Terms govern use of the application; they do not amend a lease, substitute for legally required notices or procedures, or reduce obligations concerning habitability, repairs, reasonable accommodations, safety, access, or nondiscrimination. An app status, reminder, missed response, or administrative closure does not determine whether a party met a legal duty. Any limitation, disclaimer, indemnity, or dispute provision in these Terms applies only to the extent permitted by applicable law and does not exclude liability or rights that cannot lawfully be excluded, including applicable protections concerning negligence or intentional misconduct.
Accounts and User Responsibilities
You must provide accurate information, keep your login credentials secure, maintain access to your email and phone number, and promptly update incorrect account information. You are responsible for activity under your account and for all text, photos, files, estimates, notes, scheduling responses, and other content submitted through the application.
You may not use the application for unlawful, deceptive, abusive, harassing, unsafe, infringing, malicious, or unauthorized purposes. You may not attempt to bypass security controls, access another user's information, scrape data, interfere with service operations, upload malware, or submit false, misleading, confidential, privileged, or third-party information that you are not authorized to share.
Contractors and Third Parties
Contractors are independent persons or businesses and are not employees, agents, partners, or representatives of Bohio Ventures LLC unless a separate written agreement says otherwise. Bohio Ventures LLC does not guarantee contractor licensing, insurance, availability, workmanship, safety, estimates, pricing, timelines, materials, compliance, or results. Users are responsible for evaluating contractors, requests, access, safety conditions, estimates, approvals, and completed work.
Corporate Partner Applications
Corporate partner registration and qualification tools are provided so businesses can submit information for review by Bohio Ventures LLC or Bohio Management. Submitting an application, document, owner record, screening consent, or other material does not guarantee approval, a lease, a reservation, a business relationship, or any specific terms.
If you submit partner application materials, you confirm that the information is accurate to the best of your knowledge and that you are authorized to provide it. This includes business records, insurance documents, banking summaries, ownership information, contact information, government identification, and documents uploaded on behalf of owners, officers, guarantors, employees, or related entities.
Bohio Ventures LLC may use partner application materials to review qualifications, communicate about the application, maintain records, request screening, coordinate with service providers, and support related property or leasing workflows. You should keep your own copies of anything you upload because the application is not intended to be your only document archive.
Notifications
The application may send email and SMS/text notifications. Delivery is not guaranteed and can fail because of carrier filtering, user device settings, third-party outages, incorrect contact information, spam filtering, or other conditions. Keep your contact information current and check the portal for important updates. An email delivery status does not prove that the recipient read the message. If SMS is offered, applicable enrollment and consent requirements apply, and message and data rates may apply. Providing a phone number is not consent to unrelated marketing. Ask your property manager about available notification preferences or removal of a phone number. Use another established contact method for important or urgent matters.
User Content and Uploaded Media
You retain ownership of content you submit, but grant Bohio Ventures LLC a non-exclusive, worldwide, royalty-free license to host, store, copy, display, transmit, process, and use that content as reasonably necessary to operate, secure, support, investigate, improve, and document the application and related maintenance, partner application, and property workflows. Do not upload sensitive personal information, financial account data, government identification numbers, medical information, or content you do not have authority to submit unless the application specifically requests it in a designated application, lease, disclosure or partner qualification upload field. Provide only necessary information, redact unrelated sensitive details, and never place payment credentials or screening identity information in ordinary notes, chat or public listings.
No Warranties
The application and all related services are provided "as is" and "as available." To the fullest extent permitted by law, Bohio Ventures LLC disclaims all warranties, express or implied, including warranties of merchantability, fitness for a particular purpose, title, non-infringement, uninterrupted operation, error-free operation, data availability, message delivery, data recovery, security, accuracy, completeness, and suitability for any maintenance, business, legal, safety, or property-management purpose.
Availability and Important Records
Unless a separate written agreement says otherwise, we do not promise an uptime percentage, response time, service-level credit, or successful delivery of every notification. Keep independent copies of important records and alternate ways to communicate about urgent matters. Cancellation does not automatically delete records or eliminate outstanding charges. Contact Bohio about lawful retrieval or deletion requests; no fixed post-cancellation export window is promised.
Data, Availability, and Security
Bohio Ventures LLC uses reasonable administrative and technical measures designed to operate and protect the application, including access controls and selected encryption or hashing for sensitive partner application information where supported. No internet service, software, database, email system, SMS system, cloud provider, or storage service is perfect. The application may be unavailable from time to time, and uploaded files or records may be delayed, incomplete, corrupted, deleted, or unavailable.
You are responsible for keeping your own copies of important records and uploaded documents. Bohio Ventures LLC is not responsible for loss or unavailability of data caused by user conduct, reused passwords, compromised email or phone accounts, incorrect uploads, third-party providers, carriers, networks, devices, browsers, contractors, tenants, landlords, or events outside Bohio Ventures LLC's reasonable control.
Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, BOHIO VENTURES LLC AND ITS OWNERS, OFFICERS, MANAGERS, EMPLOYEES, CONTRACTORS, SERVICE PROVIDERS, AND AFFILIATES WILL NOT BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR LOST PROFITS, LOST RENT, LOST REVENUE, LOST BUSINESS OPPORTUNITIES, OR LOSS OF GOODWILL ARISING FROM THE SERVICE.
TO THE MAXIMUM EXTENT PERMITTED BY LAW, BOHIO VENTURES LLC'S TOTAL AGGREGATE LIABILITY ARISING FROM THE SERVICE OR THESE TERMS, UNDER CONTRACT, TORT (INCLUDING ORDINARY NEGLIGENCE), OR ANY OTHER LEGAL THEORY, WILL NOT EXCEED THE GREATER OF US $100 OR THE SOFTWARE SUBSCRIPTION FEES PAID OR PAYABLE BY THE CUSTOMER TO BOHIO FOR THE AFFECTED SERVICE DURING THE THREE MONTHS PRECEDING THE EVENT GIVING RISE TO THE CLAIM. FOR USERS WHO DO NOT PURCHASE SOFTWARE ACCESS, THE AGGREGATE LIMIT IS US $100.
These limitations apply even if the possibility of the loss was disclosed, but do not exclude or limit liability that applicable law prohibits excluding or limiting, including applicable restrictions concerning fraud, intentional misconduct, gross negligence, personal injury, and statutory or housing rights. They do not release a landlord's non-waivable duties or amend a lease. Where a limitation is not permitted, it applies only to the extent legally permitted.
To the maximum extent permitted by law, the liability exclusions and aggregate limit apply collectively to Bohio Ventures LLC and its owners, members, officers, managers, employees, contractors and service providers acting in connection with the service, who are intended beneficiaries of these protections. Separate claims or legal theories arising from the same or related events do not multiply the applicable aggregate limit. Rent, security deposits, screening fees and amounts paid for separate third-party services are not software subscription fees for calculating that limit. These provisions do not exclude liability or remedies that applicable law prohibits excluding.
Company Customer Indemnification
To the extent permitted by law, a company customer agrees to defend, indemnify, and hold harmless Bohio Ventures LLC and its owners, officers, managers, employees, and affiliates from third-party claims, liabilities, damages, and reasonable legal expenses arising from the company's unlawful or infringing content, unauthorized disclosure of personal information, property operations, or breach of these Terms or applicable law. This obligation does not apply to the extent a claim results from Bohio's own conduct for which indemnification is prohibited by law. Bohio will give reasonably prompt notice, allow the company to control the defense with competent counsel, and reasonably cooperate at the company's expense. No settlement may admit fault by Bohio or impose nonmonetary obligations on Bohio without its written consent, not to be unreasonably withheld. This company indemnity does not apply to a resident or contractor solely because that person uses a company's workspace.
Covered third-party claims include claims arising from the company's unlawful housing or screening decisions; unauthorized use or disclosure of reports or personal information; customer-supplied lease terms or omitted, inaccurate or untimely disclosures; and unauthorized company instructions concerning access, spending or payments, in each case to the extent within the company's responsibility and permitted by applicable law. This obligation does not apply to residents or applicants merely using a company's workspace.
Company Data-Processing Addendum
For personal information processed on a company customer's behalf, the customer determines the lawful purposes and instructions, and Bohio processes the information to provide, secure, and support the contracted service, comply with lawful documented instructions, or meet legal requirements. Processing covers workspace membership, property and unit records, resident and contractor contacts, maintenance records and media, communications, scheduling, rental inquiries, applications and screening records, lease packets and disclosures, signing and consent evidence, tenancy assignments, rent schedules and payment-status references for the service term and applicable retention period. The customer is responsible for required notices and lawful authority to provide and use that information.
Bohio limits access to authorized personnel and service providers subject to confidentiality obligations, maintains reasonable safeguards appropriate to the processing, and uses providers such as cloud hosting, storage, communications, identity, and enabled AI services for the contracted purposes. Bohio will apply contractual data-protection requirements appropriate to their role. Bohio will not sell customer personal information or use it for unrelated advertising when acting as the customer's service provider. Processing for Bohio's own billing, account administration, security, and legal obligations is described separately in the Privacy Policy.
Bohio will reasonably assist with applicable privacy requests and security-incident obligations, notify the customer of a confirmed personal-data breach affecting its records as required by applicable law, and provide information reasonably necessary to demonstrate compliance, subject to confidentiality and protection of other customers and systems. Requests concerning customer records may be referred to that customer for instructions, without delaying any response the law requires of Bohio directly.
On termination or a lawful request, Bohio will coordinate return or deletion of customer personal information as required by applicable law and the agreement, subject to lawful retention, security, dispute, and backup requirements. This does not promise a self-service export facility, immediate removal from backups, or a fixed post-cancellation retrieval period. Retained information remains subject to applicable safeguards. If an applicable privacy law requires additional service-provider terms or assistance, the parties will comply with those requirements; these provisions do not waive statutory rights or authorize prohibited processing.
Suspension and Changes
Bohio Ventures LLC may suspend, restrict, modify, discontinue, or refuse access to any part of the application at any time, with or without notice, including for security, legal, operational, nonpayment, misuse, or maintenance reasons, subject to applicable law and any required notice. Bohio Ventures LLC may update these Terms. We identify revisions by version date and summarize material changes. The application requests acceptance of a new version when required to continue using an account. Where law requires additional notice or consent, a posted update or continued use alone does not replace it. Updated Terms do not retroactively waive accrued rights or authorize materially different uses of previously collected information without any required notice or consent.
Governing Law and Disputes
These Terms are governed by the laws of the State of Missouri, without regard to conflict-of-law rules, unless applicable law requires otherwise. Any dispute must be brought individually and not as a class, collective, consolidated, or representative action, to the fullest extent permitted by law. Before filing a claim, you agree to first contact Bohio Ventures LLC and try to resolve the dispute informally.
